TITLE:  McPherson Center Secretary / Receptionist (STF2923)

APPLICATION

RESPONSIBILITIES:

Essential -

  • Provide quality customer service and support for students, customers, faculty and staff.
  • Process student enrollment through the McPherson Center including but not limited to the input of demographic and course information, receipt and input of applications, drop/adds and withdrawals, receive student payments, etc.
  • Provide support to the McPherson Center/Practical Nursing Program including, but not limited to scheduling appointments, answering phones/taking messages, direct customer inquiries, process transcript requests, coordinate incoming and outgoing mail, data entry, copying, filing, organizing and computer work.
  • Coordinate and process book sales through the McPherson Campus Store and maintain daily functions including, but not limited to balancing cash drawer, inventory, set-up, and selling and refunding books.
  • Assist and support HutchCC partners, including Workforce Development Representatives and Adult Basic Education staff, through the McPherson Center.
  • Assist with the coordination of events, publications, correspondence and recording/distributing minutes through the McPherson Center/Practical Nursing Program, including but not limited to Business & Industry, Advisory Councils, and Allied Health.
  • Assist with marketing initiatives including, but not limited to, brochures/flyers, bulletin boards, displays, mailings, and social media/website.
  • Coordinate schedules and assist with supervision of work study students and Enrollment Clerks; delegate responsibilities as appropriate.
  • Input and update course schedules through the Course Creation System and assist faculty with instructor materials, payroll information, etc.
  • Assist with the instructor evaluation process, coordinate classroom space, and maintain McPherson Center/Practical Nursing Program records, files and database.
  • Prepare computerized purchase orders, process forms and order supplies, etc. for the McPherson Center/Practical Nursing Program.
  • Occasionally travel to other HutchCC instructional sites to post signs, make deliveries, assist with evaluations, and provide general enrollment clerk functions, etc.
  • Arrive on time for work, attend work regularly and successfully complete the responsibilities of your position.
  • Comply with HutchCC policies, procedures, and practices.
  • Serve actively on campus committees.

Secondary-

  • Occasionally work in the early evening or Saturday morning during peak enrollment times, special events, or to assist with coverage.
  • Perform other responsibilities as assigned by the McPherson Center Coordinator and the Practical Nursing Program Coordinator.

QUALIFICATIONS (Essential):·

  • High School diploma or equivalent required; associate degree preferred.
  • The ability to practice customer service, maintain confidentially, and work independently in a student centered environment.
  • The ability to work as a member of a team to support the McPherson Center/Practical Nursing Program through cross training.
  • Attention to detail and organizational skills required.
  • Professional phone and receptionist skills required.
  • Excellent keyboarding skills and experience with MS Office required.
  • The ability to establish and maintain effective professional relationships with a diverse population.
  • Physical requirements include excellent verbal, written and listening communication skills; the ability to sit in front of a computer screen for extended periods of time; the ability to perform hand motions for keyboarding, operating office equipment, answering telephones, and other office equipment; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; to use appropriate judgment and to apply tact and courtesy in difficult situations; The ability to understand words and respond effectively and appropriately; Attentive to detail, accurately follow written and verbal instructions, work independently, Sedentary/Indoor work environment with a substantial amount of keyboarding required –

    HOURLY WAGE and STATUS:

    The hourly rate of pay is commensurate with qualifications as determined by HutchCC administration. This full-time support staff position is 12 months annual, benefit eligible, and nonexempt.
